Dermadesk

AI receptionist for aesthetic clinics

Your clinic's phone, answered every time.

Dermadesk answers your clinic's calls and texts in a natural Australian voice, checks your live availability, and books the appointment straight into your diary. It doesn't take a message — it takes the booking.

Caller

Hi, are you still open? I wanted to book skin needling before a wedding in three weeks.

Dermadesk

We've closed for the evening, but I can get that sorted now. I've got Thursday the 11th at 10:30, or Saturday the 13th at 2 — which suits you better?

A quiet cost

What are missed calls costing you?

A call that rings out doesn't wait. It goes to voicemail nobody returns, or it books with the clinic down the road. Every one of them was a patient who had already decided to come in. Move the sliders to match your clinic.

78%

of patients book with whoever responds first.

The clinic that picks up wins the appointment — being the better clinic doesn't help if the phone rings out.

How many calls does your clinic miss per week? 12 calls

Unanswered during treatments, after hours, or over lunch.

Average value of a booking $280

Revenue from a typical appointment, not just the deposit.

How it works

From a missed call to a booked, confirmed patient

01

They call or text

A patient rings your clinic's number, or texts it, at any hour. Same number, either way.

02

It has a real conversation

It asks what they're after, who they've seen before, and checks your actual live availability while they're on the line.

03

It books the appointment

Books straight into your diary — the right treatment, the right practitioner, the right duration, automatically. No double-booking, no manual entry.

04

The texts keep going

Confirmation text sent the moment it's booked — plus automatic appointment reminders and rebooking nudges afterwards, so appointments stay on track and past clients get invited back, without your staff lifting a finger.

What it does

Reception work, handled quietly in the background

Not a voicemail, not a phone menu. A voice that knows your treatments and can finish the booking.

Answers every call, 24/7

No voicemail, no "we'll call you back". It picks up while your team is with clients, after hours, and on weekends.

Call or text, one number

Patients can text your number to book instead of ringing, and get the same conversation and the same confirmed appointment.

A real Australian voice

Natural accent, varied phrasing, ordinary acknowledgments. No numbered menus read aloud, no press-one-for-bookings.

Books into your diary directly

Into the booking system you already use, with the right treatment, practitioner and duration. Nothing new for your team to learn.

Checks availability first

Real-time calendar lookup before it confirms anything, so it never offers or books a slot that's already taken.

Reschedules and cancels

Not just a message-taker. It moves appointments and cancels them properly, freeing the slot back up in your diary.

It calls them back, too

Rebooking texts, timed to each treatment

Every treatment has its own window. Dermadesk watches the calendar, and when a patient is coming due without a booking already in the diary, it sends a text at the right moment with a link straight to your live availability. Anti-wrinkle at twelve weeks, skin needling at four, filler at nine months — your intervals, your wording.

Hi Amelia, it's Whitfield Skin Studio — you're about due for your anti-wrinkle top-up. Here's the diary if you'd like to pick a time: book.whitfieldskin.com.au

Skipped automatically if she already has an appointment booked.

What you see

You don't lose sight of your own front desk

Handing over the phone shouldn't mean losing track of who called. Every call and text leaves a written record, and anything that needs a person is pushed to your team rather than sitting in a queue waiting to be noticed.

A short digest each morning tells you what came in overnight — what was booked, what was moved, and what's waiting on a callback.

Trust and compliance

It knows what it isn't allowed to do

A general-purpose booking bot doesn't know that cosmetic injectables carry rules. This one was built for clinics like yours, and the limits are written into how it answers.

Under-18s aren't booked for injectables

In line with AHPRA guidance on cosmetic procedures for minors, it won't proceed with the booking. It flags the call for a practitioner to ring back instead.

No medical advice, no injectable pricing

Suitability, dosage and cost for injectables need a practitioner assessment in person. It says so plainly and routes the question to your team.

Emergencies go to 000

If a caller describes a medical emergency, it recognises it and tells them to call 000 rather than trying to handle it or book them in.

Pricing

What it costs

Every clinic is different — pricing is based on your call and text volume, so you only pay for what your clinic actually needs.

One-time setup

Get in touch for pricing

Onboarding and configuration of the AI to your treatments, practitioners, pricing rules and booking policies, so it behaves like part of your team from day one.

Then monthly

Based on your call & text volume

One flat monthly fee, tiered to the volume your clinic actually handles — so a quiet clinic isn't paying for a busy one's capacity.

Included on every tier

Full setup and configuration for your treatments, practitioners and policies

Ongoing monitoring and improvements as your needs change

Real-time booking system integration

Phone call and text booking, on the same number

No lock-in contract — month-to-month, cancel anytime

No lock-in contracts. Month-to-month, cancel anytime — we'd rather earn your business every month than trap you in a contract.

Talk to us about your clinic

Tell us about your call volume and we'll put together a plan that fits — no obligation.

Who's behind it

Built for clinics, not sold to everyone

Dermadesk is a small Melbourne team working with one industry only. That's deliberate — the rules a cosmetic clinic answers the phone under are specific, and a general-purpose booking bot doesn't know them.

We set every clinic up ourselves rather than handing over a login and wishing you luck, and you'll speak to the person who built it. If we can't make it work for your clinic, we'll say so on the call.

Questions

The things owners ask us first

No. It's built to sound like a receptionist having a conversation — a natural Australian voice, varied phrasing, ordinary acknowledgments. It doesn't read out numbered menus or ask callers to press one for bookings. Book a demo and ring it yourself before you commit to anything.

It hands over rather than guessing. Medical questions, emergencies and under-18 injectable requests are recognised and routed to your team with the context of what was asked, so a practitioner can follow up properly.

No — it catches the calls they can't get to. Your team is with clients, on lunch, or gone home; those are the calls Dermadesk answers. It also takes the routine booking and rescheduling traffic off their hands, so the time they do spend on the phone goes to the patients in front of them.

It reads your live calendar every time, immediately before confirming. If your team blocks out an afternoon or a slot fills in person, Dermadesk is working off that same current diary — so it can't offer a time that's already gone.

All text messages and calls are processed through secure, enterprise-grade infrastructure providers under formal data processing agreements, and handled in accordance with the Privacy Act 1988 and the Australian Privacy Principles. Your data is not used to train third-party AI models.

Book a demo

Hear it answer your own clinic's calls

Before your demo call, we set the AI up with your actual treatment menu. Call in and ask it anything a real patient would — book, reschedule, ask about a treatment — and hear exactly how it'll sound for your clinic.
